Article Excel document explained
I want to add a new article to the customer portal but I need help using the excel sheet, can you eplain it for me?
This explains the excel document for creating a new article in the customer portal. Check the article on adding a new article to the customer portal here.
All the yellow columns in the excel sheet are mandatory, the other columns are only mandatory in certain situations.
Column A:
Article Code → A unique SKU code for internal use. This is also the code that is used for communication. To ensure that there are no duplicate codes in our system, we will place three initials in front of the code after importing (e.g. AWC-0001).
Column B:
Description → Give a clear description of the article(s) you want to add to our system so that both you and we know exactly what product is being added and later on picked. To keep our database clean please start each word with a capital (e.g. Gin Mare).
Column C:
Volume → The volume of one stock unit. This volume is in liters, you do not have to add the L. So for a bottle of 0,7 Liter you need to fill in 0,7. The number should be indicated with an , (comma) and not a . (dot).
Column D
Net weight → The net weight of one stock unit indicated in Kilogram. This number should be the same as the volume in column C. The number should be indicated with an , (comma) and not a . (dot).
Column E:
Gross weight → The gross weight of one stock unit. So the weight of the unit as a whole.
Column F:
Stock unit → The smallest unit in which the article will be kept(most of the time this is a bottle or piece).
Column G:
Colli unit → What kind of box does the "stock Unit" come in. Suppose there are 6 bottles in 1 box then fill in BOX6. It is also possible that, for example, "stock Unit" is a TRAY24. This is then also the colli. Then enter TRAY24 here as for stock unit.
Column H
Colli conversion factor → How many stock units fit in 1 colli. For instance one colli is Box6, then you need to fill in 6 for the conversion rate. if the Colli unit is the same as the stock unit (box1 Tray24, etc.) then the conversion rate is 1.
If you're not sure about the various units, you can refer to the "Unit" worksheet in the excel document to find all the available options. If you can't find the correct unit please contact our customer service.
Column I:
Colli weight → the gross weight of one Colli in Kilograms so including package.
Column J/K/L:
Innercolli → Only when applicable.The same rules as for the colli unit also apply to the innercolli. For example, if the colli unit is Box24 and there are 4 innercolli, then you should enter "Inc6". The innercolli conversion rate is 6, meaning that 6 stock units fit into one innercolli.
Column M/N/O
Pallet unit → On what kind of pallet is the article on. (e.g. Europallet, Blokpallet, Cheppallet). check the worksheet "Pallet unit" to make sure you have the correct one.
Pallet conversion rate → How many stock units (column F) are on one full pallet.
Pallet weight → The weight of one full pallet, without the pallet itself.
Column P:
Goods code (HS/GN-Code) → Check the worksheet "GN-Code" and fill in the Goods code that applies to the article. You can find the goods code and an explanation of when to use it in the GN-code worksheet. This code is important for customs purposes.
Column Q:
Excise Group → Check the worksheet "Excise Group" and fill in the excise group that applies to the article.

Column R
Alcohol Content → How much alcohol does the article contain. Please enter the alcohol content without % and the number should be indicated with an , (comma) and not a . (dot).
Column S:
Plato Content → Only mandatory with beer. Please enter the alcohol content without % and the number should be indicated with an , (comma) and not a . (dot).
Column T
Type of goods → what type of goods are applicable when using our warehouse. the difference kinds are:
- Free Goods → When excise duty is already paid or in case of POS material or other products.
- IVV → Soda's. When you make use of our bonded warehouse.
- AGP/T2 →Spirits, wines, beers etc. When you make use of our bondend warehouse.
- T1
Column U
BBF mandatory → Does the article have a best before date (also called a THT date). If yes fill in a 1 so that we check and register it. If not, please leave this tab empty.
Column V
Batchcode mandatory → Does the article have a batchcode. If yes fill in a 1 so that we check and register it. If not, please leave this tab empty.
Column W
EAN CE → European Article Number EAN CE (also know as GlobalTrade Item Number (GTIN)) is the barcode of the smallest stock unit.
Column X
EAN HE → European Article Number EAN HE (also know as GlobalTrade Item Number (GTIN)) is the barcode of the Colli unit.
Column Y
EAN BE → European Article Number EAN BE (also know as GlobalTrade Item Number (GTIN)) is the barcode of the innerColli unit.
Column Z
Measuring and Weighing → Do you want us to weigh and measure the article on first arrival. if yes, please fill in a 1. If not, please fill in a 0.

Column AA/AB/AC
Dangerous Goods → the remaining columns only apply when the article contains dangerous goods (such as explosives, flammable liquids, toxic substances, etc.)
