Article Data Manager
The Article Data Manager is a web tool that helps you prepare clean, complete article master data that's ready for our systems. It validates your data, fixes common problems automatically, and exports a correctly formatted Excel file, which you then upload in the customer portal to onboard the articles.
Beta - The Article Data Manager is currently in beta. It already does the heavy lifting, but you may run into the occasional rough edge. All feedback is very welcome and helps us improve the tool, see Giving feedback below.
It runs entirely in your browser. Nothing is uploaded to a server or stored in a database — your file stays on your own machine while you work.
You'll find it at articles.amsterdamwarehouse.com.
The tool has two workflows, depending on what you need to do:
- Upload New Items — prepare new articles for onboarding into the WMS.
- Health Check — review existing article data to see what's missing, risky, or worth improving.
Pick the one that matches your situation on the home screen.
Who it's for
The tool is used by two groups:
- AWC teams — warehouse operators, data-entry staff and administrators who regularly prepare article data for the WMS.
- Customers — brands working with our Customer Operations team to onboard new articles or clean up their existing article master data.
If you're a customer and you're not sure which workflow fits, just reach out to your contact at AWC. For a Health Check, our Customer Operations team provides you with your article master data file first (see below).
Upload New Items
Use this workflow when you have new articles that need to be onboarded into the WMS.
How it works
- Upload your Excel file with the new article data.
- The tool processes and validates the data automatically. It will, among other things:
- clean up article descriptions,
- detect multipacks and beverage/drink articles,
- assign the correct GN (commodity / customs) codes,
- run an EAN check on barcodes,
- flag duplicate article codes,
- check pallet weights and logistic units,
- apply excise and BBF rules where relevant,
- validate that all required fields are filled in.
- Review the results. Any problems are shown inline, per article, with a clear message and a suggested fix.
- Correct what's flagged and re-check.
- Export a properly formatted
.xlsxfile. - Upload that file in the customer portal to onboard the articles.
A direct export into the WMS is planned for a later version. For now, the process is: import into the tool → export → upload the exported file in the customer portal.
What you get back
The export strictly follows the AWC Excel import template, so it's accepted by the portal without errors. That means:
- the correct column order and headers,
- the right dropdowns and WMS-defined names,
- a worksheet tab named
worksheet.
Because of this, you should always work from the tool's export rather than hand-editing the file afterwards — manual edits can break the template and cause the upload to fail.
Uploading to the portal
The export is uploaded in the customer portal, exactly like a manually prepared file. For the step-by-step portal instructions, see Add a new article to the customer portal.
Health Check
Use this workflow to review article data that already exists and find out what's missing, risky, or needs fixing.
How it works
The Health Check is run by you, the customer — but our Customer Operations team sets it up for you first:
- Our Customer Operations team provides you with your article master data file (an export of your existing articles).
- You run the Health Check on that file in the tool.
- The tool produces a quality score per article and shows all issues in a clear grid, so you can see exactly what's missing, risky, or worth improving.
- You clean up and improve the data based on what's flagged.
This way you stay in control of your own data, while we make sure you start from the right file.
Important: changing units of measure
⚠️ Be careful with units of measure on articles that already have stock history.
Changing the unit of measure (for example, the number of pieces per case or the case/pallet configuration) on an article that already has movement or stock history is complex. It can affect historical data and reporting, and a wrong change can be hard to undo.
Please don't change these yourself. Involve our Customer Operations team so we can assess the impact and make the change safely.
Giving feedback
Because the tool is in beta, your input genuinely helps. There are a few ways to let us know about a bug, a tip, or a question:
- the Feedback button (bottom-right of every screen),
- the Share feedback link in the beta banner,
- the short rating that appears when you finish a workflow.
All of these open a feedback form. It takes less than a minute, and every submission reaches us directly.
